Set it up step by step

  1. Choose where your email lives

Use the mailboxes included with your hosting, or a dedicated service such as Google Workspace when you also want shared calendars and documents. Both are on our business email page.

  2. Create the mailboxes

In the control panel (or the email service’s admin console) create each address, such as info@, sales@ and your own name, with a strong password.

  3. Point the MX records

MX records tell the world where to deliver mail for your domain. Set them to the values your mail service gives you and remove old MX records.

    @ MX 10 mail.yourdomain.com.
  4. Add SPF

An SPF TXT record lists the servers allowed to send mail as your domain. Keep a single SPF record and include every service that sends for you.

    @ TXT "v=spf1 include:<your mail service> ~all"
  5. Turn on DKIM

Enable DKIM signing in your control panel or mail service, then publish the TXT record it shows. Receiving servers use it to check your mail was not altered.

  6. Publish a DMARC policy

Start with a monitoring policy, read the reports for a few weeks, then tighten it.

    _dmarc TXT "v=DMARC1; p=none; rua=mailto:dmarc@yourdomain.com"
  7. Connect phones and computers

Add the account in your mail app with IMAP for incoming and SMTP for outgoing mail, using the server names and ports from your welcome email, with SSL/TLS turned on.

  8. Send a test

Send to and from an outside address, check that it does not land in spam, and look at the message headers for spf=pass, dkim=pass and dmarc=pass.

If mail is not arriving

  • Check the MX records with a DNS checker; old records can still be cached for a few hours.
  • Make sure there is only one SPF record. Two SPF records make both fail.
  • Look in spam on the receiving side and read the headers to see which check failed.
